FAQ

Good questions, straight answers.

Including the ones about what it can't do.

Because the next customer reads the replies. In BrightLocal's 2026 consumer survey, 89% of people said they expect a business to respond to its reviews, and a calm reply to an unhappy review often tells them more than the review itself. Google lists replying to reviews among its own tips for showing up in local search, and its AI in Maps now reads your reviews when it answers people's questions about you. Most owners mean to reply and never find the time. That's the gap I fill.

Barely. After you subscribe you get a link to set up in about 3 minutes (find your business on Google, pick the voice that sounds like you, choose what waits for your OK), or I'll call within one business day and we do it together. Then you add me as a manager on your Google Business Profile, and that's it. There's no account, nothing to install and nothing you have to check. If you're curious, every email links to your own private page with every reply and your dashboard.

Yes. Right now it posts replies to reviews left in the review box on your website. Google is next: Google has to approve services like this before they can post replies, and I'm working through that. As soon as it's approved I'll switch your Google reviews on. You won't need to do anything.

That's the whole point. When I set you up, I get your business name, what you do and a feel for how you talk, and every reply is written around that. The tone also follows the stars: warm thanks for 4 and 5 stars, and a sincere apology for anything from 1 to 3 stars. And if you rewrite a reply before it posts, WinBack learns from your version, so replies get closer to how you'd put it.

Yes, and you choose how much. Everything can post automatically, or replies to negative reviews (1 to 3 stars), anything under 5 stars, or every review can wait for your OK. When one is waiting, you get an email with the review, the draft reply and a button. Edit it if you want, then post it or skip it. No login needed. Rather not deal with it? I can check them for you instead.

Right now it's $39 a month, plus a one-time $40 setup fee. Checkout only charges the monthly subscription; the setup fee is billed separately, once. There are no per-reply charges and no contract. Monthly charges can be refunded within 30 days; the setup fee is non-refundable.

For new customers, yes: the price rises as more businesses join. If you're already subscribed, no. You keep the price you signed up at for as long as your subscription stays active. (If you cancel and come back later, you'd pay the price at that time.)

Yes, and it's built for exactly this. Replying to a review in a way that confirms someone was your patient can break privacy law (HIPAA), and practices have been fined for it. For healthcare and legal practices, replies never use the reviewer's name, never confirm they were a patient or client, and never mention a visit or treatment. They thank people for the feedback and invite them to call the office. A second check holds back anything that slips, so it comes to you instead of being posted.

Anything from 1 to 3 stars gets a calm, sincere apology and an invitation to get in touch with you directly. It won't argue, get defensive, admit legal fault, or promise refunds or discounts. If a review is asking for something it can't safely answer, like a refund, nothing gets posted and the review comes to you instead. And reviews that mention things like an injury, a lawsuit or discrimination never get an automatic reply at all: they're held for a person, and I hear about them straight away.

If a Google review we thanked gets edited down to 1 to 3 stars, the old thank-you no longer fits. We write a fresh reply to what they say now, and it waits for your OK before it replaces the old one. If someone raises their rating after hearing back from you, that shows on your page too (and in an email, unless you've turned those off).

Every reply runs through a safety check before it posts: no links, phone numbers, emails, promises of money, made-up facts, or placeholder text. You get an email with every reply, and you can change or delete it on the site where it was posted. You can pause replies or turn approvals on yourself from your private page (it's linked in every email), or just tell me.

Reviews on your own website are answered automatically today. Google reviews get a reply too: forward Google’s “new review” emails to your own WinBack address and each one comes back with the reply written, ready to paste in two taps, until Google approves posting them for you. Yelp, Tripadvisor and Facebook work the same way: they don’t let outside apps post replies, so forward their review emails and each reply comes back written for you to paste. Customer emails you want help answering work too.

Yes. There's a review box for your website, where customers can leave a review that gets answered like any other, and a small badge that shows your Google rating (or your website reviews until Google is connected). Whoever runs your site pastes one line of code, and I'm happy to help.

Those too, if you'd like. When I set you up, WinBack can go back up to a year and answer the unanswered ones, oldest first, a few a day: Google is wary of replies posted in bulk, so a big backlog takes a week or two instead of an afternoon. Reviews you already replied to are left alone.

Reviews on your website usually get a reply within seconds. Once Google is switched on, WinBack checks it every 15 minutes, so replies go out within about a quarter of an hour.

Yes. On the 1st of each month you get a short report: how many reviews were answered, your average rating, your Google rating compared with the month before, how fast replies went up, your best review, and a quick summary of what customers praised and what came up more than once. Quiet month? No email. And when an unhappy customer raises their rating after hearing back, you get a quick good-news email. Every email also links to your own private page, where you can see every reply any time.

Yes. You get your own short link that goes straight to your Google review page, plus printable cards with a QR code for the counter or receipts. I can also email your customers for you: give me their emails and each gets one friendly request with a link, and one reminder if they don't open it. Everyone can unsubscribe. Your report shows how many people opened your link. One rule I stick to: every customer gets asked the same way. Google doesn't allow asking only the happy ones, and it can penalize businesses that do.

Yes. If you use an app for jobs, bookings or invoices (Jobber, Square, QuickBooks, Housecall Pro and thousands more), it can hand each finished customer to WinBack through Zapier or Make, and they get a friendly review request, with no emails for you to paste. You get a private address for it on your page, and I'm happy to set it up with you. Same rules as always: one reminder, nobody asked twice in 90 days, and everyone can unsubscribe.

If you want to. By default you get a short email with the review and the reply. I can switch that off if you'd rather not hear about it. Replies waiting for your OK are always emailed.

No. For the review box on your website there's one line of code. I'll send it to you or whoever runs your site, or add it myself if you give me access.

Google has started suggesting AI replies inside your Business Profile, and that's handy if you're already in there every day. You still have to open it, read each review, and post each reply yourself. WinBack does it without you: every review is answered on its own, in your voice, the tough ones wait for your OK if you like, anything touchy (an injury, a lawsuit) is held for a person, and it also emails your customers for new reviews and sends you a monthly report. If you'd rather do it yourself with Google's suggestions, that's a fine choice too.

Anytime. Use Manage or cancel (at the bottom of every page): enter the email you subscribed with and Stripe sends you a link to cancel. Or just call, text or email me and I'll do it. It's month to month, and replies keep going until the end of the period you've paid for.

I keep your contact details and business details so the service can run. Google access is stored encrypted and only used to read your reviews and post replies. Review text is sent to the AI provider only to write the reply. I never sell your information, and there are no ads or trackers here. Full details are in the Privacy Policy.
