Review reply examples for every kind of review

These are examples, not templates. Since April 2026 Google screens owner replies and can reject ones that look copy-pasted, and customers can spot a stock reply anyway. Use them to see the shape of a good reply, then write your own about what the customer actually said.
The pattern is the same every time: thank them, respond to the specific thing they mentioned, and (if something went wrong) own it and offer a way to talk. Two to four sentences.
A glowing 5-star review

“Best haircut I've had in years. Took the time to ask what I actually wanted and the fade is perfect.”
Thank you! Taking the time to get it right before the clippers come out is the whole job, and it's great to hear the fade came out exactly how you wanted. See you in a few weeks.
Why it works: It picks up the two specific things they praised (being listened to, the fade) instead of a generic thanks, and it's short.
A 5-star review with no words

Thanks for the five stars! We really appreciate you taking a moment to rate us.
Why it works: One or two sentences. There's nothing to respond to, so don't invent details about their visit.
A 4-star review with a small gripe

“Food was great, especially the carbonara. Parking is a nightmare though.”
Glad the carbonara hit the spot! You're right about parking on a busy night. The lot behind the bank on Elm Street is free after 6 and it's a two-minute walk, if that helps next time.
Why it works: It thanks them for the praise, agrees with the fair point, and offers something useful. It doesn't argue that parking is fine.
A lukewarm 3-star review

“It was fine. Nothing special, a bit pricey for what you get.”
Thanks for the honest feedback. We'd like every visit to feel worth the price, not just fine, so we'd really like to hear what would have made it better. Feel free to call us any time.
Why it works: No defensiveness about prices. It takes the criticism seriously and opens a door to talk.
A 1-star review about a real mistake

“Waited 40 minutes past my appointment and nobody said a word. Walked out.”
Waiting 40 minutes with no update isn't okay, and we're sorry. That's on us, not you. We'd like to understand what happened that day. Please call us and ask for the manager.
Why it works: It names the problem in one line, owns it, doesn't make excuses, and moves the conversation offline.
A 1-star review that's unfair

“Rude staff, terrible service, never coming back.”
We're sorry your visit went badly. That's not how we want anyone to feel when they leave. We'd like to hear what happened so we can look into it. Please call and ask for the owner.
Why it works: Even when it feels unfair, the reply is for the next customer reading it. Calm and brief beats defending your staff in public.
A review you can't match to any customer

“Worst place ever. Total scam.”
We take every review seriously, but we can't find a record of this visit. We'd like to understand what happened, so please call us and ask for the manager.
Why it works: Politely noting you can't find them, without accusing them of lying, reads well to everyone else. If it's clearly fake or breaks Google's rules, report it too.
A doctor's or dentist's office (privacy first)

“Front desk was disorganized and my insurance was billed wrong.”
Thank you for letting us know. We take concerns about our front desk and billing seriously and would like to help sort this out. Please call the office and ask for the office manager.
Why it works: No name, and nothing that confirms they're a patient or mentions their visit, insurance or treatment. In the US, revealing patient details in a review reply has led to fines.
A review in Spanish

“Excelente servicio, muy amables y rápidos.”
¡Muchas gracias! Nos alegra mucho que el servicio haya sido rápido y amable. ¡Le esperamos pronto!
Why it works: Reply in the language the review was written in. It shows you actually read it.
Three things never to do
- Paste the same reply everywhere. It reads as fake and can be rejected by Google.
- Offer anything in exchange for changing the review. Fix the problem, full stop.
- Stuff in keywords or promotions. “Visit the best plumber in Springfield for 20% off!” under a complaint reads badly and gets flagged.
